When you make your first reservation, we will ask you to fill out and sign a document to complete your file. By signing this document, you agree to respect the rules and procedures relating to room rentals at the CSC des Grands Vents.

For everyone's safety, we ask that you check that your organization's liability insurance covers the costs related to possible damage or injuries occurring during your activities outside of your organization, including during your rentals at the CSC des Grands Vents.

We also recommend that you designate a person within your team who is trained in first aid and cardiopulmonary resuscitation, so that they are ready to intervene if necessary.

For your first rental, the full rental amount, including concierge fees depending on the situation, must be paid before the event. If the concierge fees differ from those initially charged, a second invoice will be sent to you or a credit will be applied to your next rental.

For subsequent rentals, your invoice will be sent to you by email. Payments can be made by check, cash, Interac e-Transfer or directly online. Please note that we do not accept debit or credit cards. Payment of the invoice must be made within 30 days from the invoice date.

Cancelation

Cancellation fees apply as follows:

• 15 working days notice : No cancellation fees.
• 5 working days notice : 50 % of the rental amount.
• 2 business days notice : Total rental amount.

Example : If you have a reservation for Wednesday, July 31, you must cancel by Wednesday, July 10 to avoid a fee. If the cancellation is made between July 10 and July 26, you will be charged 50 % of the reservation amount. Any cancellation made after July 29 (inclusive) will incur a fee equal to the full amount.

Upon arrival, please report to the ACFSJ offices, suite 254, so that the door to the room you have rented can be unlocked. At that time, we will return the borrowed accessories and equipment to you. Please note that we do not set up the equipment in the room for you. It is your responsibility to verify that the equipment is in good condition when you pick it up.

After use, you must return the equipment to the ACFSJ offices, room 254. In your absence, the ACFSJ reserves the right not to open the room door to your participants.

Responsibility
The CSC des Grands Vents declines all responsibility in the event of lost or stolen objects (jewelry, clothing, glasses, wallets, etc.).

Tenant Privacy
The ACFSJ is committed to respecting the confidentiality of tenants of the CSC des Grands Vents. Thus, we will not disclose the names of tenants to any other organization, group or individual interested in the same room in the same time slot.

Cyclical or long-term rental

The CSC des Grands Vents offers cyclical or long-term rental options, adapted to your needs.

Cleanliness of the rooms

We ask you to keep the rooms clean during your rental. It is essential to respect the premises for the comfort of all.

Displaying your activities
If you have advertising material and would like to display it, please inform the ACFSJ, which will be able to provide you with the necessary instructions. Several display spaces are available: at the entrance to the CSC des Grands Vents, at the entrance to your rented space or on the notice board. The ACFSJ can also share your information with its members or on social networks, provided that it is in French or, preferably, bilingual.

Animals
Animals are strictly prohibited in the building, with the exception of guide or assistance dogs. A special request can be made for exceptional activities (e.g., pet therapy).

Liquor license
The ACFSJ has a liquor license and can offer bar service. Please let us know as soon as possible so that we can coordinate this service according to your needs.

Fire Department
Please note that a member of the Fire Department staff, prevention division, may visit the premises and facilities at any time during your reservation. If you do not comply with the conditions established during the validation process with this service, your activity could be cancelled immediately by the competent authority (prevention officer, firefighter, police). The CSC des Grands Vents declines all responsibility for any damage caused, and no refund will be granted.

For security reasons, it is forbidden to leave objects in the corridors.

Closure of the Centre
No room reservations are taken when the CSC des Grands Vents is closed, such as during public holidays:

• Easter weekend (Friday and Monday included)
• Fête des Patriotes (The Monday before May 25th)
• Saint-Jean-Baptiste Day (June 24)
• Confederation Day (July 1st)
• Regatta Day (1st Wednesday of August)
• Acadian Day (August 15)
• Labour Day (1st Monday in September)
• National Day for Truth and Reconciliation (September 30)
• Thanksgiving (2nd Monday in October).

Please note that the Center will also be closed for two weeks for the Christmas holidays.

If your organization is not a tenant at the CSC des Grands Vents and you wish to rent a room in the evening, please note that the usher is available from Monday to Friday until 10 p.m. For rentals on Saturday and Sunday during the summer, an additional fee of 40 $/hour, with a minimum of 3 hours, will be applied for the usher service. You will be informed of these fees when you make your reservation.

Please also note that our rates may vary. Discounted rates may be offered depending on the period, duration and conditions of the rental. Members of the Association Communautaire Francophone de St. Jean (ACFSJ) benefit from a preferential rate.
